How does Village use AI and protect my privacy?

At Village, we know how sensitive your child’s information is, and we take that responsibility very seriously. Our goal is to make care coordination simpler and more effective for families and providers, without ever compromising your privacy or trust.

How Village uses AI

We use AI to help families and providers communicate more efficiently and stay aligned on a child’s progress. For example, AI can generate summaries of care notes or conversations to save time, and make it easier for everyone on your care team to stay on the same page. Most importantly, AI is used only to support care coordination and never for decisions about your child’s treatment, eligibility, or services.

How we protect your privacy

All of our systems, including AI services, are HIPAA compliant. This means we meet strict federal standards for safeguarding personal health information.

Here’s how we do it:

  • HIPAA compliance and BAAs: Every vendor we work with signs a Business Associate Agreement (BAA), legally binding them to meet HIPAA privacy and security requirements.

  • Minimum necessary data: We only share the data that’s required to deliver a specific feature or function.

  • Strict oversight: We monitor and control how any third parties access or process data to ensure it’s handled responsibly and securely.

Who can see my information?

Each Village workspace has defined roles: caregivers (like parents and guardians) and providers (such as OTs, PTs, or SLPs).

The first caregiver is asked to confirm their role as a parent or a legal guardian. This grants them Workspace Admin access, which means they can view, manage, and control all available settings for their child’s care team—including granting the same access to other caregivers and providers.
